WPPI is one of the biggest photography conferences in the country, and it will be here before we know it!  There is soooo much information to learn and no matter if you are a first time visitor or an experienced attendee, a survival guide is a must.  This will be my third year going to WPPI, and I have written tips and tricks on surviving WPPI.  However, I came across this brilliant, detailed blog post by Ashley Fisher of Ashley Fisher Photography and knew that I had to feature it on the blog!  I also knew that I couldn’t write anything as well-done as this!

THIS IS THE ONE STOP 2013 WPPI TIPS/SURVIVAL GUIDE!

Ah, WPPI 2013. That glorious week at the MGM in Las Vegas where thousands of wedding and portrait photographers congregate for education, networking, shopping for the latest and greatest…and let’s be honest…partying like it’s spring break in college. But if you’re a first timer or a newbie, these WPPI tips will be extraordinarily helpful in navigating through and surviving your first WPPI.

My first WPPI was in 2012, shortly after I began my business. I was totally malleable, which was great, because I was able to start my business by learning from the best of the best in the industry. So even if you’re BRAND SPANKING NEW to the industry, invest in WPPI…and be prepared for an AMAZING experience!

I’ve compiled some WPPI tips for newbies or for veterans who might just want to know how to survive WPPI 2013. 🙂

1. WPPI-WHAT IS IT, WHERE IS IT, AND WHEN IS IT?

WPPI is the annual Wedding and Portrait Photography convention held at the MGM in Las Vegas, Nevada. This year’s convention begins on Thursday, March 7, 2013, and ends on Thursday, March 14, 2013.

Basic Schedule Breakdown:
March 7: PLUS Classes
March 8: PLUS Classes; WPPI University
March 9: WPPI University
March 10: Platform Classes, Master Classes
March 11: Platform Classes, Master Classes, Tradeshow
March 12: Platform Classes, Master Classes, Tradeshow
March 13: Platform Classes, Master Classes, Tradeshow
March 14: Platform Classes

I’ll break down more specific times + what all those words mean later in this post, but this is the basic WPPI schedule. In addition, there are official WPPI events at night, and then there are non-WPPI related get togethers, shootouts, workshops going on at the same time.

2. HOW TO REGISTER, PRICING, DISCOUNTS + PROMO CODES, SPLITTING WITH A FRIEND, AND STUDENT/EDUCATOR TICKETS
So first I’m going to tell you the official pricing from WPPI, and then we’ll walk through the different options of…not paying full price! You can register HERE.

As of today through March 6, 2013 (so basically, NOT on-site registration): A full conference pass is $399 ($275 if you’re a WPPI member. Basic WPPI memberships are $125 for US residents, $145 for Canada residents, and $175 for international members).

The $399 includes you, a FREE guest (so yes you can split it with someone), and 3 additional guests may be added for $150 per guest. You and your guests will have access to all platform classes, all official WPPI nightly events, launch pad, and admission to the tradeshow. You can also add on:

  • PLUS classes for $795 (you have to be a WPPI member to register for one)
  • Master classes for $60
  • WPPI University for $125

March 7-14, 2013 (on-site registration): A full conference pass is $450 ($325 if you’re a WPPI member. Basic WPPI memberships are the same price as above). It still includes one free guest, but your 3 additional guests will now pay $160. Same access as above. Add on pricing on site are as follows:

  • PLUS classes for $850 (you have to be a WPPI member to register for one)
  • Master classes for $65
  • WPPI University for $150

Tips for saving $$$ on your Full Conference Pass

  • Student/Educators – if you are a student or an educator, you are in luck! WPPI full conference passes are only $25 on or before March 6, or $30 on site. The not so fun thing if you’re a friend of a student/educator is that they do NOT have the same guest privileges and cannot split or add on guests to their full conference pass. But they do get the same access as the normal full conference pass holders do. There is paperwork you have to submit, so I would recommend calling the WPPI customer service staff at 877-699-5410 (domestic) or 240-439-2985 (international).
  • Discount + Promo Codes – in the last few weeks before WPPI, start googling “WPPI 2013 Registration Promo Code” or any variation thereof. Last year, SmugMug had a full registration promo code about 3 weeks prior to the conference for only $90 or $95. So Nikki and I split the code and only paid about $45 each for our pass. This year she got her educator discount, but I’m still holding out! I google every day, and so far I haven’t found anything, but we’re still over a month out. I’ll be sure to link them here when I do find them!
  • Giveaways – Also start googling “WPPI 2013 Registration Giveaway” or any variation thereof. Lots of companies and photographers give away free registrations on their blogs + websites. I don’t know of any yet, but if I find any, I’ll link them here!
  • Tweet industry companies – I’ve heard from multiple people that they have tweeted companies in the industry and have gotten sponsorship for their registration fees. I’m trying this right now, so we’ll see what happens! 🙂

Free Tradeshow Passes

  • It’s SUPER easy to get a free expo/tradeshow pass if you want to come out to Vegas but don’t want to go to the classes. Again, it’s a little early, but over the next few weeks, google “free WPPI 2013 expo pass” or “free WPPI 2013 tradeshow pass,” and you’ll find a ton of options. Last year it was about 2-3 weeks prior when they started releasing these codes. I’ll update the blog post when I start seeing the freebie codes!
  • Also – try tweeting industry companies to get your code! Since it’s so cheap already, they hand the freebies out like candy.

3. WHERE SHOULD I STAY/DEALS/WHAT ABOUT FLIGHTS?
Alright so the conference itself is at the MGM conference center which is off the strip nearest to Tropicana Ave. Here’s a little map so we can chat about this a little more depth and so that you can visually see what I’m talking about

Last year, Nikki and I stayed at Hooters. It wasn’t terrible, but it wasn’t nice, and it was STILL a long, long walk!! I think that we paid about $500 total for one week, and then we split that between the two of us. The nice thing though about Hooters is that there is a crosswalk out front across from Hooters where you can take the back way around the self parking garage outside and get into the conference center. That walk took about 25 minutes from door to door. When we tried to walk THROUGH the MGM, that took about 35-40 minutes door to door. And that’s across the STREET from the MGM.

This year we are staying at the MGM Signature, and this is by far the most highly recommended place to stay at WPPI. There is a shortcut to the tradeshow from MGM Signature Tower 1, too. For one week in a junior suite at the MGM Signature, we are paying $865 split between 3 people. It sleeps four with a king bed and queen sleeper sofa. If you want great rates at the MGM Signature, I highly recommend contacting Donna Boschert at db@condohotelmarketplace.com to reserve a suite. Hopefully there is some space left!

I have friends staying at TropicanaExcaliburNYNY, and even the main MGM resort, but seriously, once you enter the MGM from the strip, it’s at LEAST a mile walk through the casino to the conference center…and then account for walking traffic. It might save you some money (a little bit), but it’s worth the blisters on your feet and flat out exhaustion to stay at the MGM Signature. Since you will be walking a TON, bring some healing blister bandaids! Your feet will thank you.

As far as flights, check out hipmunk.com. By far my fave way to fly. My roundtrip flight, even arriving and leaving from different cities was only $299. It even sorts it by agony, price, duration, etc., so you can pick the perfect flight and then buy it safely on the airline website.

4. CAN YOU TELL ME ABOUT TRANSPORTATION?
When you arrive at McCarran International Airport, take a cab. It’s so much faster than the shuttles, and it’s actually relatively inexpensive. On the strip, it’s best to just walk everywhere, including to and from the conference, but there are cabs available as well as the Las Vegas Monorail, which does take you from the MGM all the way up through the Sahara. It’s pretty inexpensive at $5 per ride or $12 per day. Renting a car isn’t necessary in Vegas.

5. CAN YOU TALK MORE IN DEPTH ABOUT THE WPPI SCHEDULE + HOW THIS ALL WORKS?

Difference between platform, master, and PLUS classes:
Platform classes are available to everyone. They are in giant rooms that can seat hundreds (maybe even a few thousand in the larger rooms. They are included in your full conference registration. Master classes are smaller, more intimiate classes where you can ask lots of questions. Last year I took Melanie Nashan’s Weddings From Start to Finish master class and Niel Van Nienkerk’s Flash Master Class, each of which was about 20-30 attendees. Master classes are $60 and are available to all WPPI attendees, but they do sell out quickly. The PLUS classes are two day intensive small classes at the beginning of WPPI, and they are only available to WPPI members and are $795, and most are already sold out. For what it’s worth, I’m skipping PLUS classes + Master classes this year and will only be attending platform classes, shootouts, mini workshops on the tradeshow floor, networking events and parties this year. 🙂

Preboarding + the “sold out” myth:
When you register for your full conference pass, you have the option to preboard for up to five platform classes. You don’t have to preboard at all. All preboarding is is registering ahead for the class, and you get a little print out ticket and get first dibs at the class (and no waiting in lines…well, that’s kind of a lie, because you still wait in line to get in, but you’re guaranteed a seat so long as you get there before they open the “other” line). If you don’t have your ticket or you don’t show up on time, you might lose out on your preboard. Oh and by the way, you don’t HAVE to use your preboard ticket. And don’t fret if the class you’re dying to see is sold out. You can still wait in line, but get there early! I got in to every class I wanted to see last year by waiting in lines. Sure it wasn’t the most fun, but I took my laptop and caught up on emails and made some good friends in the lines, too! Some of the more popular speakers will have longer lines, such as Jasmine Star, Zach + Jody, Dixie Dixon, Bambi Cantrell, Jared Platt, Bob & Dawn Davis, Jesh De Rox, Sal Cincotta, Jerry Ghionis, Susan Stripling, Cliff Mautner, Justin & Mary Marantz, and Sue Bryce. Try to snag a seat up front or along the aisle for interaction with the speaker, by the watercooler to meet new people, or in back if you need to leave early!

Have a plan + a backup plan + split the plan:
Last year, we made a list by day and time of our top three choices per time slot, so that we knew where to go in case we couldn’t get into our first choice. We also tried to split up as much as possible so that we could trade notes after. I *highly* recommend splitting up since there’s so much information out there and you can’t possibly do it all!

6. ALL ABOUT THE TRADESHOW

Step 1: Plan ahead
There are two different methods of planning ahead, and I recommend doing both. First, I’d make a list of all of the things you want/need to check out while you’re there. For me, I need to look for new products for my clients and new gear for me. Everything else is just a bonus, but I also know that if I don’t have time to see it all, I can skip everything that isn’t in those two categories. Secondly, there are two huge rooms + usually one smaller room to the tradeshow. I find it easiest to go left once you’re in the door (for some reason, everyone goes right), and then snake through the rows of each room. Make sure you take a tradeshow floor map with you and circle any must hit booths in case you get a little lost!

Step 2: Badge Scanning + Email Purgatory
The nice thing about the tradeshow is that you don’t have to fill out any forms…they can just scan your handy little badge. The totally crappy thing is that your email inbox will never see “zero unread” again thanks to that scanning gun + the spam that accompanies it. SO one of the top WPPI tips is to make yourself a WPPI email address and use that when you register for WPPI. You’ll thank me (and the hundreds of other photographers who have suggested this tip).

Step 3: Take notes, ask questions, and touch things
This is your time to really evaluate the different products and ask questions that you might have from the vendor. I took a lot of photos to jog my memory as well as a lot of notes. Bring a little notebook for the tradeshow that is easy to carry and write on while you’re standing. Touch the albums and the different papers. It really is okay! I was nervous to touch anything, but I promise that’s what they’re there for. This year I really want to play with Jerry Ghionis’ Ice Light (light saber??). 🙂

Step 4: Buying Tips + Discounts/Freebies/Giveaways
First of all, repeat this mantra, “I do not need to buy everything.” It’s easy to feel that way, though!! Most of the vendors’ steepest discounts are on the first day, but if it’s not something you KNOW you want to buy or need, don’t buy it on the first day. Use the first day to check the entire tradeshow out, write down pricing + special deals (and then price check in your room), ask questions, and enter the contests and giveaways. THEN make a plan of what you really want/need, and over the next two days, you can go back and ask additional questions and make your purchases. Oh, and stick to a budget…or you really might lose your shirt in Vegas! Most vendors have discount codes that last for a few weeks after WPPI, so make sure to get those and then you can take advantage of them when you get home, too!

Step 5: Speakers at the Booths
Most WPPI platform speakers ALSO speak at various booths at the tradeshow, and it’s a good time to meet them, say hi, ask more personal questions, etc. Be sure to check out the following booths for some pretty spectacular speakers: GraphiStudio, Black River Imaging, ProDPI, Millers, Westcott, as well as a whole host of other speakers at the smaller booths! As a bonus, sometimes if you go to these speakers, you get additional freebies and discounts!

Step 6: Miscellaneous things you can do at the tradeshow
Other things you can do at the tradeshow that I didn’t know last year would be things like selling gear at KEH, getting signed up for insurance, joining PPA, etc.

7. SHOOTOUTS + NON-WPPI WORKSHOPS
There’s SO much to do at WPPI alone, but then there’s ALSO non-WPPI events including shootouts (styled shoots – bring your camera!) + other workshops. Last year I had no idea that these events went on, but of course it makes sense with over 15,000 wedding + portrait photographers in the same city for a week! Shootouts and workshops are a fantastic way to meet new people and add gorgeous new images to your portfolio. This year I signed up for Bob & Dawn Davis’ Wild Wild West shootout on Sunday ($295). The cool thing about Bob & Dawn’s workshop is that in addition to the 4 hour shoot at a cowboy ranch with models, they also have a free champagne shootout on Tuesday evening if you attend the Sunday event + their talk at the GraphiStudio booth. It’s a pretty stellar deal!

You do need to register for shootouts + non-WPPI workshops asap as they’re on a first come first served basis, and they do have a price tag associated with them. I’ll try to keep this list updated as I find out about more shootouts + workshops.

7. PARTY LIKE IT’S SPRING BREAK!!!

I definitely didn’t pack what I needed for the parties that go down in Vegas, but this year I won’t forget! Dress to Impress! One of the biggest WPPI parties is Airplanes & Blazers, now called Lazers and Blazers. This year’s party is on Tuesday night (March 12) at 10pm, and you can get your ticket HERE for $36.00. Don’t miss out on this event! There are also other parties hosted by various people/companies, and the best way to find out who will be where is to search twitter for #WPPI, #WPPI2013, @wppiparties, and @rfwppi. (and this goes for general WPPI chatter, too). Parties may be invite only, but you can score tickets by tweeting, visiting trade show booths, and rubbing elbows with various people. There are in-suite parties at the MGM/MGM Signature, but they do usually get broken up pretty quickly. There is a group on facebook called WPPI and WPPI Parties Vegas Photographers Spring Break, where you can get more information on the parties.

8. FOOD TIPS

The MGM Food Court + Starbucks
The MGM food court is a pretty spectacular place (and quite delicious), but it’s VERY expensive and there are hardly any seats available during prime time (the breaks between classes). So if you’re going to eat there, allot enough time to walk to the food court, stand in line, get your food and scarf it down, and get back to class. But the nice thing about not having many seats is that you have to share tables, and that’s how I met my dear friend, Donnell, who introduced me to SHOWIT + PASS, and my life hasn’t been the same since! So don’t be afraid to meet new people at the lunch table! Oh and Starbucks? Be prepared for a mile long line. You might want to give yourself a LOT of extra time in the AM or skip Starbucks altogether and get your coffee elsewhere. Oh, and skip the MGM buffet. It’s not good. at all. But I have heard wonderful things about the burgers at Wolfgang Puck’s Bar & Grill!

Target + Whole Foods are your friends
There is a Target and a Whole Foods within a 10 minute cab ride. If you’re staying at the MGM Signature, you have a kitchenette in your room, so you can save a TON of money on food. But even if you don’t have a kitchenette, it’s worth it to take the trip to Target or Whole Foods when you get to Vegas to stock up on drinks (lots of water), breakfast bars, snacks, and light lunch foods (and all the stuff I will mention in the next section). Not only will it save you money, but it’ll keep your belly from rumbling during the classes!

Some of my favorite places to eat in Vegas
Sat/Sun brunch at the Bellagio is by far the best breakfast I have ever had. You’ll find me there bright and early for the Sunday Champagne Brunch. Unlimited food + champagne for 35.99 per person. Hours are 7am-3:30pm, but get there early or you’ll wait in a long line! My other favorite Vegas place is this awesome Thai restaurant over in a crappy strip mall, but it’s AMAZING. It’s called Lotus of Ziam. Go there. You won’t regret it. 🙂

9. AVOID THE WPPI SARS OUTBREAK
I’m pretty sure it’s impossible to leave WPPI without being sick. The lack of sleep combined with thousands of people = illness haven. I’d stock up on Purell, Airborne, Chapstick, Tylenol/Ibuprofen, and some cold/flu medication. If you have even a hint of sickness before you go, ask your doctor for antibiotics. Even though it’s the desert, you must stay hydrated, so take water with you everywhere + apply chapstick generously. You might also want to bring some eyedrops and nasal spray just in case with allergies and smoke everywhere.

Also remember to pick up healing blister bandaids for your feet from all of the walking!

10. NETWORK! NETWORK! NETWORK!
WPPI is chock full of AMAZING photographers and people. And the most amazing ones are probably your fellow attendees, so don’t be shy! Network! Hang out in the hallways and chat up your neighbors. Invite people to lunch! I’m going to lunch with Luke & Cat, two of my favorite photographers from Texas! Go to as many of the social events as you can and be genuinely interested in other people. You’ll have a blast, and you’ll leave with some fantastic friendships. Focusing on building relationships will by far give you greater rewards than sitting in class, so don’t be afraid. Make some new friends! 🙂 Oh, and if you’re a Showiteer, don’t forget to join our Showiteers United in Vegas facebook group to connect before you arrive in Vegas!

11. WHAT TO BRING TO THE CONFERENCE ITSELF
I brought a large tote bag with me with a notebook, extra pens, snacks, a bottle of water, my WPPI badge, preboarding passes, and business cards for networking and giveaways. Some days I took my laptop and charger, too. I tried to not bring much else so that I had room for anything I picked up that day. At the Tradeshow, BayPhoto usually hands out large totes for you to carry stuff around, but those bags get heavy quickly!

You probably saw me mention business cards just a second ago. You MUST bring business cards with you! Some people have networking cards made instead with their name, twitter handle, facebook page, website, phone number, etc. on them. If you just have business cards, make sure to hand them out often and always enter the giveaways during the class sessions by passing your cards to the middle aisle. And a fun tip – when you get a business card, write a note to remind you who that person is, and always add them on facebook + follow them on twitter asap. 🙂

12. WHAT DO I WEAR?
I vaguely remember last year seeing an official WPPI dress code, and I didn’t know what it meant so I WAY overpacked. But here’s the skinny. For classes, dress comfortably. Last year I wore jeans, boots, and layered tops for classes. Parties tend to be more “dress to impress.” It’s pretty casual, though! Nothing is super formal other than the award banquet, where a little black dress would be just fine. I do highly recommend layers as some rooms are super cold and others are warm, and definitely wear comfortable shoes. I think I’ve said this now three times, but you will be walking a LOT, so leave the cute, not-so-comfortable shoes at home, or bring a pair of walking shoes in your tote.

13. YOUR TECHNOLOGY

Your Camera
I would bring your DSLR + the camera on your phone or a point and shoot to Vegas with you, but leave the DSLR in the safe in your room during classes. You won’t need it. But have something with you to capture must remember things during classes (as long as the speaker is okay with it…but don’t be that guy who is super distracting taking photos of every slide). You’ll also want to take lots of pictures of you and your friends, tradeshow products (again if they’re okay with it), etc. You will want your DSLR for shootouts and contests that different companies hold throughout the week.

Your laptop/ipad
I would definitely bring your laptop/ipad to Vegas with you. There is free Wi-Fi at the MGM, and there are lots of charging stations. You don’t need to take it to classes with you (an old fashioned pen + notebook are just fine), but it’s nice to have to catch up on work or emails or the rest of the real world. 🙂

Your phone
Bring your phone + a charger, but beware that the MGM Conference Center is a DEAD ZONE. If you are planning to meet up with someone, give them a very specific time and location and don’t rely on being able to call or text them.

14. MUST DO’S WHILE YOU’RE AT WPPI
Check out the print competition. The work is amazing. And you can get lots of lighting and posing inspiration from those photographers. It’s really a wonderful experience. And use this opportunity to swap head shots with another photographer! They should be updated at least once a year, and you pretty much have your pick of photographers at WPPI. 🙂 And of course, remember that you’re in Vegas, so explore!! Roadtrip before or after. Check out the strip. See a show. Play craps. Go visit Hoover Dam on the way to the Grand Canyon. Have fun!!

16. I CAN’T GO THE WHOLE TIME, SO WHEN SHOULD I GO? LOGISTICALLY, HOW DOES THE LAST DAY WORK?
I will be at WPPI from Thursday, March 7 through Thursday, March 14, but if you can only make it for a small portion, I would recommend flying in on Saturday night and leaving on Wednesday night. On the last day you’re there, you’ll want to leave your bags with the concierge at your hotel after you check out, head to class, and then pick your bags up at the hotel and grab a cab to the airport. If you have a few hours to kill before your flight, explore the strip and grab lunch! But McCarran International Airport does have free wi-fi and a LOT of slot machines… 🙂

17. RANDOM HELPFUL TIPS FOR WPPI

  • Remember that you will hear 20 different ways of how to run your business and do xyz. Listen, take notes, and then figure out what works for you. They are simply telling you how THEY are successful, and there are lots of different roads to success.
  • Bring an extra bag. I would take one checked bag with a foldable duffle to check for your return trip for all of the swag you’re going to pick up at WPPI. But don’t take EVERYTHING home with you. Sort through everything you have, consolidate info on your computer to get rid of some of the paper, and only take what you will truly use when you get home. If you bought gear, make sure it fits in your carry on + shuffle some other stuff to your checked bags. Or you can always mail your new stuff home before you leave.
  • Seats in platform classes are close together. Make sure you’re wearing comfortable clothing, be clean, lay off the perfume/cologne, and bring some gum/mints. 🙂
  • There’s lots of smoke in Vegas, so bring a mini bottle of Febreeze!

18. FINAL THOUGHTS

  • You’ll get out of WPPI what you put into it. So give back, put yourself out there, and do as much as you can without overwhelming yourself.
  • Be yourself. You might want to have a short tidbit about yourself ready (who you are, where you’re from, and what you do) for when you meet new people. You’re awesome, so don’t feel like you have to fit in with the cool kids. Just be yourself, and everyone will love you!
  • Know that WPPI is a growth experience. Be open to growing your business, your network, your friendships, and yourself. Take it all in, but decide what is best for YOU!
